Internal Audit Management Suite

At ABB, auditors today work with a modern, user-friendly web application that covers the entire audit process from preparation to the automated generation of audit reports and presentations, as well as billing for the audits. The new Audit Suite of 1stQuad replaces a long-serving Lotus Notes application and supports auditing with comprehensive tools at the latest technical state-of-the-art.

Around 70 employees are responsible for auditing at the global industrial group ABB. They ensure that the requirements of the globally standardized audit process are met and that the correct recommendations are subsequently incorporated into Group Governance, Risk and Compliance Management (GRCM). The engagement of the auditors is divided into three phases: Information research and preparation in the central audit department, conducting interviews and collecting evidence on-site in the national companies, and processing the findings in the form of audit reports and presentations.

A software solution that optimally supports the audit process must cover all aspects, from risk assessment to deployment and travel planning, expense reporting, and management of the service catalog. Previously, auditors had been working with a Lotus Notes application, which was typically in permanent use – a high demand on the stability and availability of the application. 1stQuad received the project to transfer the old Lotus Notes application into a modern web application.

The demands on the recording and preparation of content were also high: an audit report is a comprehensive document with partly multimedia content. When editing, the auditors want to use functions such as change tracking and review. All captured content must be saved automatically, as was common practice in the previous application. And the application must be usable worldwide with the same good performance.

The new Audit Suite fully meets these requirements. The auditors can perform all work steps conveniently via a user-friendly web interface. The application automatically generates Word documents and PowerPoint presentations from the recorded content, transfers the relevant data via an interface to the GRCM system and is comprehensively integrated into the Group’s system landscape.

The cooperation and flexibility of 1stQuad regarding the continuously changing customer requirements in the course of development are extraordinary. Furthermore, the employees of 1stQuad have contributed significantly to the development and improvement of the revision software, beyond the original specification, through their solution and improvement-oriented approach.
