Mövenpick Hotels and Resorts has around 16,000 employees and operates more than 80 top-class business hotels and holiday resorts in Africa, Asia, Europe, and the Middle East. Until now, internal communication has taken place via a simple intranet-based news solution: employees have had to proactively consult the intranet to obtain news and information from the company. Only very specific groups of people were served with manually compiled mailings. The new goal: to significantly increase the reach of the company news.

1stQuad received the order to build a solution for the automated news distribution. However, a general mailshot for all employees was not desired. Rather, each news item should reach specific groups of recipients depending on its content. The basis for selective dispatch is metadata that is already available on the intranet – for example, it is possible to differentiate between regions, departments, or business areas.

Corporate Communications with Office 365

Today, news distribution relies on a cloud-based solution. Nintex Workflow for Office 365 ensures that when a news item is published on the intranet, a newsletter is automatically generated and sent out with pinpoint accuracy: Images and text are extracted from the intranet news, inserted into an e-mail template and distributed to the group of recipients defined via metadata. Depending on the topic and type of message, a newsletter serves between 2000 and 5000 people.

With the new news solution, Mövenpick Hotels and Resorts was able to significantly strengthen its internal communication. Employees who do not regularly access the intranet now also receive all relevant messages promptly. With the cloud-based workflow automation, the solution could be set up without investing in additional IT infrastructure.
